Please read carefully before booking. By paying your deposit, you agree to all Terms & Conditions listed below.
All floral preservation pieces created by K&M are handmade and one-of-a-kind. Because flowers are organic and resin cures naturally, variations are normal and expected.
Your finished piece may include:
• Colour changes (softening, darkening, yellowing, increased transparency, or colour shifting)
• Curling or shrinkage
• Brown or translucent bruising
• Micro-bubbles or small textural variations
• Flowers shifting slightly during resin curing
• A slight amber tone to resin over time
Mold may occur before arrival or during drying, and is a natural risk outside of our control.
These characteristics are not defects.
• A non-refundable 25% deposit is required to secure your preservation date.
• Guestbook Boards require a $50 non-refundable deposit.
• Wedding Ring Boxes must be paid in full when ordering.
• Deposits must be paid within 24 hours or the date may be released.
• Only 3 bookings per week are accepted.
• Reservations are confirmed on a first deposit received basis.
• The remaining balance is due upon completion of your order unless a written payment plan is in place.
The preservation process typically requires 12–26+ weeks depending on:
• Flower condition
• Order volume
• Resin curing time
• Seasonal workload
• Design complexity
Timelines may be extended under circumstances listed in Section 14 – Force Majeure.
K&M is not responsible for the condition of flowers upon arrival.
We are not liable for florals that arrive:
• Wilted
• Moldy or rotten
• Frozen or overheated
• Crushed or damaged
• Improperly packaged
• Delayed or damaged by courier
Any deterioration upon arrival may affect the final results and is not grounds for refund or discount.
If florals arrive in poor condition, K&M may:
• Remove unsuitable blooms
• Replace flowers at the client’s expense
• Modify the order
• Abort pieces that cannot be created safely or successfully
Floral preservation is both an art and a science. Natural variations may include:
• Colour changes (darkening, yellowing, transparency, or colour shifting)
• Shrinkage or curling
• Brown or translucent bruising
• Brittleness
• Micro-bubbles or minor texture
• Resin ambering over time
• Mold forming before arrival or during drying
• Flowers shifting during resin curing
These are natural outcomes and not considered defects.
6. SOLA WOOD FLOWER PRESERVATION POLICY
Sola wood flowers are handcrafted botanical products made from natural wood fiber. Due to their highly porous nature, sola wood flowers require additional preparation and handling when preserved in resin.
To ensure long-lasting, high-quality results, sola wood flowers require:

Projects containing sola wood flowers require an additional week to allow for proper drying, sealing, and multi-layer resin curing.
Important Notes:
All design and layout decisions are made solely by the artist based on:
• Flower condition
• Suitability for resin
• Mold size and shape
• Aesthetic balance and safety
Additional terms:
• No preview photos or layout approvals are provided.
• Only usable blooms are included.
• Damaged, wilted, moldy, or unsuitable flowers may be removed.
• Replacement flowers (if required) are at the client’s cost.
• If florals are not suitable for a selected piece, it may need to be modified or removed from the order.
Each preservation piece is an artistic interpretation and cannot replicate your original bouquet exactly.
No changes are permitted once drying or resin work has begun.
• Any order changes (engraving, upgrades, add-ons, substitutions) must be submitted in writing before preservation begins.
• Changes are not possible once drying, pressing, or casting has started.
Once your piece leaves our studio, care becomes the client’s responsibility.
Avoid exposing resin artwork to:
• Direct sunlight
• Heat (vents, fireplaces, hot vehicles)
• High humidity
• Enclosed or unventilated spaces
• Water or outdoor elements
Improper care may result in warping, discoloration, softening, or damage.
Orders must be picked up and paid in full within 14 days of notification.
Beginning on day 15, a $25 per week storage fee will be added.
Orders not picked up and paid for within 30 days of notification are considered abandoned, unless a mutually approved written payment plan is in place.
Abandoned items:
• May be discarded, destroyed, repurposed, or retained
• Will not be refunded (including deposits)
• Any outstanding balance may be sent to collections
Payment plans may be arranged only if agreed upon in writing.
Missed payments result in:
• $15 missed-payment fee
• 5% late fee after 14 days unpaid
• Additional 5% late fee every 30 days thereafter
• Balances unpaid after 30 days, or breach of a payment plan, may be sent to a third-party collection agency
• All deposits and payments remain non-refundable
• The client is responsible for all collection fees, legal fees, administrative fees, and associated costs
If shipping is requested:
• All shipping costs are the client’s responsibility
• K&M is not liable for courier delays, temperature exposure, breakage, lost parcels, or transit damage
• Shipping is always at the client’s own risk
Local pickup is strongly recommended.
All floral preservation pieces are custom-made.
For this reason:
• All sales are final
• No refunds, exchanges, or cancellations will be provided
Clients may not enter studio workspaces for insurance and safety reasons.
All drop-offs and pickups must occur in designated areas.
K&M Customized Creations may photograph your florals and finished artwork for:
• Social media
• Website galleries
• Advertising
• Marketing and promotional content
If clients send K&M their own photos, they may also be used unless the client opts out in writing at the time the photos are provided.
K&M is not responsible for delays caused by circumstances beyond our control, including but not limited to:
• Illness or medical emergencies
• Family emergencies
• Severe weather or natural disasters
• Equipment malfunction or breakdown
• Power outages
• Road closures
• Postal strikes or courier delays
• Supply chain shortages
• Public health emergencies
• Labour disputes
• Transportation shutdowns
• Vacations or scheduled time away
• Acts of God
Timelines may be extended without compensation.
In rare cases, resin or related materials may arrive defective, contaminated, or compromised due to manufacturing issues, supplier error, or temperature exposure during transit. These issues may not be visible until the resin is mixed or used.
If such a material defect occurs:
• K&M is not liable for delays, material failures, or required remakes
• Additional time may be needed to acquire replacement materials
• Timelines may be extended without penalty or compensation
Any delay caused by these or similar circumstances may extend turnaround times as reasonably necessary
Any claim or concern must be communicated at the time of pickup.
Claims submitted after pickup cannot be accepted due to environmental exposure, handling, natural aging, or transportation conditions outside our control.
If any portion of these terms is found unenforceable, the remaining terms remain in full effect.
By paying your deposit, you confirm that you have read, understood, and agree to all Terms & Conditions above.

BEST PRACTICES -
THE FRESHEST BLOOMS ARE THE BEST
Here's a summary of the key points - (PLEASE READ IN ITS ENTIRETY).
1. **Fresh Blooms** The fresher the flowers, the better the preservation results. Keep the bouquet cool and hydrated in water, and deliver it to us as soon as possible after the wedding or special occasion, ideally the next day. Friends or family members can also deliver, ship, or courier the bouquet if you're unavailable.
2. **Condition of Flowers** Frozen, wilted, bruised, discolored, or crushed petals cannot be preserved, so it's essential to ensure the flowers are in excellent condition before preservation.
3. **Drying Process** Once received, the best blooms and greens are carefully dried individually for approximately 4+ weeks. Certain colours may change during the drying and resin process, such as red, pink, and purple colors darkening, and white flowers tending to yellow or become cream-colored.
4. **Resin Pouring** After the drying process, FOOD SAFE and UV resin is poured over the delicate floral ingredients in multiple fine layers over several days/weeks. Each layer must set before the next layer is poured. The resin is typically poured to a maximum depth of approximately 2-3 inches, including the final dome/flood coat.
5. **Drying and Curing** After pouring, the resin dries for at least 7 days to ensure it is completely hardened and cured. It is then sanded, polished, flood-coated if applicable, and photographed. The entire preservation process can take up to 26+ weeks, depending on our order volume and the complexity of your order.
6. **Important Notes** While we take utmost care in creating your preservation, handmade resin art using fragile botanical ingredients may result in small bubbles, imperfections, and transparent spots.

Each method is chosen to maintain the natural beauty and colour of your flowers while ensuring long-lasting preservation. This drying process takes approximately 4 weeks.
4. **Customization** If desired, we can incorporate additional elements such as photos, mementos, or keepsakes into the preservation process. This adds a personalized touch to your preserved flowers and enhances their sentimental value.
5. **Curing and Finishing** After the preservation process is complete, only the best dried flowers are selected and are carefully arranged in the mold in preparation for the multiple resin pours and the final flood/dome coats.
6. **Final Presentation** Your preserved flowers are presented to you in a beautiful display as resin encapsulation. We take pride in delivering a finished product that exceeds your expectations and honours the beauty of your cherished blooms.
